HOW TO KNOW IT’S TIME TO HIRE A VIRTUAL ASSISTANT

Aug 05, 2021

As you grow your business there is going to come a time where you will need to outsource. There is no getting around that if you want to scale your business. Now, believe me –  I am all for the solopreneur life and I think it’s so important to first get the proper systems in place and automate tasks that can be automated before moving on to the next step. There will come a time where it is a necessary next step though.

Hiring a Virtual Assistant is a perfect first step in outsourcing. It gives you that taste of what it is like to have a small team, without the expense of having an employee. Virtual Assistants work on either hourly packages, retainer packages or packages based on service. So whether you’re looking for someone to take on general admin work, or someone to take over your social media, there are so many options and so many really wonderful experienced VAs out there.

So how do you know when you’re ready to take your business to the next level and hire a Virtual Assistant?

Here are the 5 signs it’s time to outsource!

1. You're doing more admin work than business building work

Your days are looking the same and you’re finding that you don’t have the time to be strategic in your business. You’re too busy dealing with client inquiries or sending invoices or answering emails and by the end of the day you’re finding that you haven’t worked ON your business. The reason you built your business was because it was something you loved to do but you’re now stuck doing the repetitive tasks you don’t enjoy.

2. Your big projects aren't moving forward

You have big ideas of where you want your business to be and some awesome projects in mind that you know will boost your business immensely. Maybe you want to create a course; maybe you want to start a blog; maybe you want to make a shift in the services your business offers…but these ideas are sitting in your to-do pile because you’re stuck in the day-to-day. Spending so much time on those admin tasks can take away from your big ideas coming to fruition.

3. Things are falling through the cracks

Your day is packed and you feel like you don’t have time to think! It’s hard to make the time to get organized when you’re busy. Being so busy and not having the time to put proper systems in place allows for more errors. If you’re finding that you’re missing emails or forgetting tasks or even just not putting your best work out for your clients, it may be time to get some help with putting systems in place and getting organized.

4. You're working too many hours

In addition to starting a business that you love, you also wanted to be able to have more freedom and flexibility. Entrepreneurship is HARD WORK, no doubt about that! It requires some long nights and stressful days. If you’re finding that you’re burnt out and working just way too much though, why not ask for help! Attend your child’s soccer games; go on those date nights and have the time to enjoy life as well. We all need a bit of a break.

5. You're doing tasks that you don't enjoy or know someone else could probably do better

Maybe you dread the thought of posting every day on Instagram but you know how important it is for marketing yourself or maybe you know someone else could do a better job at taking care of your customer service tasks. There are people out there who love those tasks that you hate doing! It’s okay to let someone else help you with these so that your business is the best it can be.

It’s important to be ready to let some things go when hiring a Virtual Assistant. This is the first and most important step when it comes to outsourcing.

Next to that, take the time to first organize and plan out everything you need from a Virtual Assistant. Too many business owners hire a Virtual Assistant because they’re disorganized and need help, but it often leads to a business relationship that doesn’t work out because the business owner wasn’t prepared for the onboarding aspect.

First, write down what you need from a Virtual Assistant. Next, Create procedure documents or videos for your virtual assistant to refer to and ensure you have everything they need to complete the work ready and available. This will lead to a much more successful working relationship and a much more stress-free you!
